Standard Terms and Conditions

1. General

The travel services provided by Rafflesia Excursion Holiday Sdn Bhd and the respective responsibilities and liabilities are outlined and governed by these TERMS AND CONDITIONS.

The online submission of the booking request form or via email shall be deemed to constitute the acceptance of the Booking Terms and Conditions and Payment Methods by the Client and shall be an undertaking that he has the authority to act for and on behalf of the persons named on the Booking Request Form for the travel and tour services. For purposes of these Booking Terms and Conditions, “Client” hereby referred to the named persons in the Booking Request Form including any travelling companions. All general and collateral agreements or special requests of the client must be recorded in a written form and are deemed to be officially agreed upon only after their being included in the booking confirmation and client invoice.

2. Reservation Procedure

All tours quoted by Rafflesia Excursion Holiday will be valid for 30 days from the date issued or validity period stated, whichever is earlier. If no confirmation is received with the time period, Rafflesia Excursion Holiday reserves the right to re-quote the price of the tour, subject to availability. Booking confirmation requires a 25% deposit, and the remaining balance is due 14 days before the tour commencement. A 100% full payment is required for quick confirmation of the booking and admittance to the tour for last-minute reservations made less than 14 days before the start of the tour. Unless otherwise specified, reservations for lodging, tours, and all other bookings can only be retained for 3-5 days after the client invoice's issue date. Rafflesia Excursion Holiday reserves the right to release or cancel any bookings being held where the required deposit has not been received by the due date without prior notice.

3. Cancelation

  • Cancellations are registered on working days only: Mon–Fri 10.00–16.15 (East European Time), excluding Malaysian national holidays.

  • Orders paid by credit or with debit card are refunded directly to the card

  • Orders paid by bank transfer are refunded by bank transfer.

  • Cancelation can only be made 1 month prior to the commencement of tour.

  • No refund is subjected to bookings made 1 week prior to the commencement of tour

Type of Customers and Refund and Changes Procedures

For Free Independent Traveler

  • Cancellation of reservation must be made in writing to avoid any misunderstanding. If the company receives notice to cancel 30 days or more before the date of departure, a minimum administrative fee of RM50.00 or 10% of the tour deposit (whichever is lower) per person will be levied.

  • Upon confirmation of the tour any subsequent change made to the reservation is subject to an amendment charge of RM50.00 per person per change.

  • The company can entertain any changes for packages regarding private tour, mix and match and custom itinerary tours. This is dependent on the availability.

  • Any cancelation made less than one month or 30 days to any services will entitle the following charges.

    • 15- 29 working days before the date of departure - 50% of tour deposit

    • 08 - 14 working days before the date of departure - 20% of tour fare

    • 03 - 07 working days before the date of departure - 40% of tour fare

    • 02 - Working days or less before the date of departure - 100% of tour

For Group Tour

  • Cancellation of reservation must be made in writing to avoid any misunderstanding. If the company receives notice to cancel 30 days or more before the date of departure, a minimum administrative fee of RM50.00 or 10% of the tour deposit (whichever is lower) per person will be levied.

  • Upon confirmation of the tour any subsequent change made to the reservation is subject to an amendment charge of RM50.00 per person per change.

  • The company can entertain any changes for packages regarding private tour, mix and match and custom itinerary tours. This is dependent on the availability.

  • Any cancelation made less than one month or 30 days to any services will entitle the following charges.

    • 22-44 working days before the date of departure - Forfeiture of tour Deposit

    • 15-21 working days before the date of departure - 35% of tour fare

    • 08-14 working days before the date of departure - 50% of tour fare

    • 03-07 working days before the date of departure - 75% of tour fare

    • 02 working days or less before the date of departure - 100% of tour fare

4. Refund

No refunds would be given for cancellations made after the tour has commenced or for any unused tour services, such as transfers, meals, lodging, sightseeing, or any other services that were not used. Any person failing to appear on the day of departure will consider as no show. No refund will be issued. If a refund is necessary, it will be given to you using online banking payment method. Please be aware that processing time for refunds can range from 14 to 30 working days. Rafflesia Excursion Holiday will not process any refund request until we received a completed Refund Details Acknowledgement Form from the guest.

5. Payment Method

  • All payments must be made in Ringgit Malaysia in cash or by bank transfer or telegraphic transfer to our Malaysia bank account (MYR). The ability to convert your local money to MYR and carry out the telegraphic transfer in MYR is typically provided by your local bank. Any bank fees incurred are the guest's responsibility.

  • For credit card payment options, a secured credit card payment link will be sent to you. Please email the payment proof to us for record.

  • A 3% processing fee for credit card payments (Visa/Master) will be charged.

6. Travel Document/Passport/Visa

The client must travel with a current passport and be in possession of all necessary visas, permits, and certificates for the nations he will be visiting. The travel must be at least 6 months out from the expiration date on the client's passport. The Client is in charge of making sure that he has the necessary visas, permits, and certificates for their trip; for further information, please see the Trip Notes. If the client is denied entry into a nation because he does not have the proper passport, visa, or other travel papers, we are not liable.

7. Insurance and Health

To safeguard against unforeseen events that could happen while on vacation, it is strongly recommended that all clients to purchase comprehensive personal travel insurance. It is advised to purchase travel insurance policies that include coverage for baggage loss and valuables loss, personal responsibility, delay, cancellation, curtailment, and missed departures, as well as personal injury, death, medical expenses, and repatriation charges in the nations you intend to visit.

Clients must generally be in good health in order to enjoy the tour. It is recommended that all clients should have themselves medically checked before attempting any tour. It is vital that client with pre-existing medical problems or conditions make these known to Rafflesia Excursion Holiday. It is also important that client consult their doctors for vaccination and other medical requirements before the trip.

8. Risk Management

The client is aware that the trip would be adventurous and that taking part will involve some personal risk. The client will travel to regions with political, cultural, and geographical characteristics that pose more risks and physical difficulties than those we encounter every day. In determining whether the itinerary should go forward, we consider data from government foreign affairs agencies and feedback from our own contacts. Nevertheless, it is also the Client's duty to familiarize himself with all pertinent travel information and the specifics of his schedule. The Client accepts that he has taken these facts into account when deciding whether to travel and that he is aware of the personal hazards involved in doing so.

9. Liability

Rafflesia Excursion Holiday shall have no responsibility or liability for any loss, damage to, or harm to anyone, or for any personal accidents, delays, or other abnormalities that are beyond our reasonable control. Every person participating in any tour organized by Rafflesia Excursion Holiday shall be regarded as carrying his own risk with respect to loss or injury to person or property.

10. Flexibility

It's possible that the schedule or routings will alter because of bad weather or any other unforeseen situations. If that happens, arrangements of a comparable standard will be used instead. However, reimbursements won't be offered. Rafflesia Excursion Holiday has the right to alter travel plans whenever necessary and without paying a fee. The prices listed on the website are accurate as of the time of publication, but they could change at any time due to unforeseeable events like currency fluctuations, increases in transportation expenses, hotel rates, and government taxes, among other things.

11. Validity

Inquiries or reservations for tour services shown must be made directly through Rafflesia Excursion Holiday. Full information is required in order to handle the Client’s reservation efficiently.

  • arrival/departure dates and flight details.

  • Number/type of rooms and meals required

  • Guide requirements

  • Names of clients in full with gender

 

12. Force Majeure

Rafflesia Excursion Holiday accepts no liability and will not pay any compensation where the performance of its obligations is prevented or affected directly or indirectly by or as a result of force majeure or any circumstances beyond its reasonable control including, but not limited to, flood, earthquake, extreme adverse weather conditions, natural disasters, other acts of God, acts of terrorism, fire or failure of electric power, gas, water, or other utility service, plant machinery, computers, vehicles or any collapse of building structures.

13. Client Responsibility

Clients are responsible to check the details on your Confirmation Invoice when you receive it before making any payment or transaction with Rafflesia Excursion Holiday. In the event of any discrepancy, you should contact us immediately. Presenting yourself to take up all pre-booked components of your tour. No credit or refunds will be given if you fail to take up any component of your tour due to personal reasons. Respecting the authority and following the directions of the tour guide and the laws of the countries in your itinerary during a tour.

14. Special Request

Upon requested, Rafflesia Excursion Holiday will endeavor to meet your special requests on meals, dietary requirements, hotel booking arrangement for some package, assisting the disability client, baby equipment, privacy and so on as we are providing highly exclusive private tour to our client. Please inform and highlight in the reservations form during booking. However, such requests are strictly subject to confirmation and availability.

15. Client Feedback/Complaint

If the Client has a complaint about his trip, the Client must immediately inform his group leader or our local agent of any complaints he may have regarding his trip. Any additional complaints should be made in writing to us within 30 days of the conclusion of the tour if satisfaction cannot be achieved through these channels.

16. Privacy Policy

Any personal data or information that we gather from the Client may be used for any function related to the operation of a Trip or to send the Client promotional materials for our activities and special deals. In order for us to operate the Trip, the information may be provided to our agents, service providers, or other vendors.

17. Third Party Supplier

Rafflesia Excursion Holiday makes arrangements with transport and other accommodation providers, transfer operators, tour operators, local guides, activity providers, and other independent parties (“Third Party Suppliers”) to provide you with some or all of the components of your booking. We take great care in selecting Third Party Suppliers, but we do not supervise or control these suppliers and cannot be responsible for their acts or omissions.

In the absence of our own negligence, we disclaim all liability for any cancellations, delays, diversions, or replacement of equipment, loss or damage to baggage or property, injury, illness, or death, as well as any claims for damages for inconvenience, loss of enjoyment, upset, disappointment, distress, or frustration, whether physical or mental, brought on by any act, omission, error, or negligence on the part of "Third Party Suppliers."

18. Terms and Conditions Amendment

Rafflesia Excursion Holiday reserves the right to amend and/or update these terms and conditions at any time, and it is the Clients responsibility to be familiar with them. The latest terms and conditions can always be found on the Company website and will supersede any previous versions.
